E-mail: In Microsoft Outlook, create a folder called "DocRetention." Move all pertinent e-mails that need to be retained to this folder. All e-mails that are stored in this folder will be saved. The users should clean out this directory as required by the university retention policies over time. All other e-mails in the user's inbox and other directories older than one year will be deleted automatically on a once-a year schedule. Users should clean out e-mails in their local directories.
Other Electronic Documents: All faculty and staff have a personal drive (Z = user home directory) that is located on the server. There are also Department Share directories (X = department share). Business-related electronic files and documents that need to be retained can be stored in either the user's personal home directory or the Department Share directory. To access these network directories on your computer system, go to "My Computer" and click on the Z or X directory as desired. Individual users and department/unit managers are responsible for reviewing the content of these directories and cleaning out as required by NYIT's document retention
