How to Request A/V Equipment at NYIT

Please read the following instructions before you fill in the online form.

*Effective Immediately, all A/V equipment for evening for classes will be picked-up no later than 10:50 p.m.. This includes classes that end at 11 p.m., so please plan your classes and A/V usage accordingly.

 

1. All A/V request cards must be properly filled out (one time requests on a white card OR continual requests on a yellow card), and delivered to the Academic Computing Office on campus. When using the online form please double check that the proper selection is made (one time or continual request).

2. Fill in all the requested information on both the sides of the card. Make sure you check for the accuracy of data/information on the card. When you are submitting the A/V request card in person, please print and sign your name on the back of the card. Please make sure you fill in a phone number where you can be reached by an Academic Computing Services staff member in case of cancellation or rescheduling or a problem with delivering the equipment. If you are using the online AV form do not forget to fill in your email address.

3. We at Academic Computing Services strongly suggest not using inter-office mail, as your request may not reach our Academic Computing Office in time. Furthermore, equipment is assigned strictly on a first come first serve basis. The sooner we receive your request, the sooner we will be able to honor it.

4. No A/V requests will be accepted over the phone! Adjunct faculty members should request the A/V equipment through their respective department or through the evening office. The faculty member who received the A/V equipment has to sign the A/V delivery form when the the equipment is delivered by staff. From this point onwards the faculty member is responsible for any damage or misplacement of the equipment until a staff member shows up for pick up at the scheduled time according to the request.

5. In an event that a faculty member who requested the A/V equipment must leave the room before the time period stated, please contact the Academic Computing Office and indicate that the equipment is ready to be picked up. A staff member will be there as soon as possible. Please do not leave equipment unsupervised!

6. At least one week of advance notice is necessary for scheduling of A/V equipment. If your request cannot be honored, you will be contacted for rescheduling. Make sure to leave a contact number with the Academic Computing Services staff member on campus.

7. To avoid any confusion and as a backup, please contact the Academic Computing Office one or two days in advance to verify that your card was received and the department has scheduled someone to take care of your A/V request.

**Due to insurance regulations, all faculty members are prohibited from: transporting any A/V equipment in their car, keeping the A/V equipment overnight, and/or using the A/V equipment off campus. (PLEASE NOTE: Special arrangements can be made in some cases, but prior approval from Academic Computing Services is required.)

 

Requesting for Special Events

For clubs, conferences, etc: all A/V requests must be made in writing at least two weeks prior to the event (you may use e-mail or the online request form). If you are making a written request, please make sure to include in the memo any special arrangements that are needed, the start and the finish time of the event, contact person or the coordinator for the event, estimated number of people attending the event and include a list of guest speakers (i.e.: the president) if any. (PLEASE NOTE: podiums, chairs, tables, etc. are provided by the Buildings and Grounds/Facilities Department and not Academic Computing Services!)

A/V requests for clubs must be requested by the club's faculty advisor. Special events held on Sundays must be staffed by the department that is making the request. The requesting department will be held responsible for the equipment in the case of damage or loss.

 

General Information

  • All of the A/V requests that are approved by the Academic Computing Services Lab managers, supervisors, or assistants are made on the basis of availability of equipment.
  • Please be aware that student-aides are not able to approve A/V requests!
  • Any A/V request can be cancelled at anytime during the semester. Failure to cancel equipment that is not needed puts unnecessary strain on our resources and personnel, and is discourteous to your fellow colleagues.
  • Please notify Academic Computing Services immediately about any damaged equipment in order to avoid being held liable.
