Position

Administrative Assistant

Department: Academic Affairs

Responsibilities: Based in Old Westbury, Long Island, the Office of Academic Affairs seeks an administrative assistant who will report directly to the Assistant to the Provost. The administrative assistant will maintain the Provost calendar which includes appointments, speaking engagements, conference participation and provide office support to Academic Affairs personnel. He/she will provide assistance to the new Assistant Provost for strategic academic initiatives as well as the Associate Provost, process budgetary financial transactions, requisitions, reimbursements and travel advances in a highly technical environment. Candidate will aide in the planning and coordinating of events, special projects, tracking of faculty and staff recruitment authorizations, employment forms and various financial functions, including disbursement and document processing . Other responsibilities include assisting the Office of Sponsored Programs with the annual Faculty Scholars Reception, ISRC Grants, Global Grants and related projects. He/she must have the ability to interact with faculty, staff and students in a fast paced environment , sometimes under pressure , while remaining resourceful , proactive and efficient with a high level of professionalism and confidentiality which is crucial to this role. The administrative assistant must be well organized, flexible and enjoy the administrative challenges of supporting a complex office. All tasks and processing requires considerable attention to detail, ability to multi-task, prioritize and meet deadlines. Expert level written and verbal communication skills and experience in filing electronic as well as paper documentation is essential.

Qualifications: Bachelor’s degree with a minimum of three years of relevant experience is required. Proficiency in working with PC based programs including Microsoft Excel, Word and PowerPoint and ability to handle sensitive, confidential information is required. Ability to work in a diverse culture with people in varying levels of responsibility, detail oriented with the ability to execute multiple tasks in an organized manner is essential. Candidate must be able to learn new software tools in a highly technical environment.
